Apprentice Legal Cashier/ Business Admin

This vacancy is for an Apprentice Business Administrator based in Liverpool.

The successful applicant will have the opportunity to undertake valuable work experience dealing internal and external customers with whilst gaining on the job qualifications.

To support the firm's accounts function by assisting with day-to-day legal cashiering tasks in accordance with applicable rules and the firm's policies and procedures, with a focus on conveyancing and private client matters, while completing an apprenticeship programme and developing competence in legal accounting, client money handling, and internal controls.

Key Responsibilities

  • Assist with accurate posting of receipts and payments for client and office accounts.

  • Support the preparation of electronic payments (e.g., CHAPS/Faster Payments) for completion monies and private client transactions, subject to authorisation.

  • Assist with banking tasks, including allocation of incoming funds and reconciliation support.

  • Help ensure correct matter allocation and narrative descriptions for all postings.

Conveyancing Cashiering Support

  • Assist with handling conveyancing completion funds under supervision (e.g., purchase monies, sale proceeds, estate agent fees, SDLT/LTT/land registration related payments as applicable).

  • Support the preparation of completion statements/financial statements from an account's perspective ( confirming cleared funds, ensuring correct ledger postings).

  • Assist with processing disbursements and bills relating to conveyancing matters.

  • Liaise with fee earners to resolve posting queries, missing information, or timing issues relating to completions.

Private Client Cashiering Support

  • Assist with postings and payments connected with private client work (e.g., probate, estate administration, trusts) as directed.

  • Support accurate recording of receipts, payments and transfers, ensuring correct allocation to the relevant matter/ledger.

  • Assist with tracking and recording disbursements and fees on private client matters.

  • 3.4 Compliance, Controls & Risk Management

  • Follow the firm's procedures for client money, approvals, segregation of duties, and payment authorisation.

  • Assist with maintaining clear audit trails for receipts, payments, and transfers (including supporting documents).

  • Escalate potential issues promptly (e.g., suspicious payment requests, missing authorisations, ledger anomalies, potential breaches).

  • Support compliance-related tasks as directed (e.g., periodic checks, file/matter balance review support).

  • Learn and understand the SRA rules ,standards and Regulations

  • Learn and adhere to AML obligations when handling client money

Billing & Posting Support

  • Assist with posting bills, credit notes, and transfers in line with firm instructions.

  • Support the allocation of costs/disbursements and ensure accurate linking to matters.

  • Assist with chasing missing billing information where required.

Administration & Team Support

  • Maintain organised records (digital and/or paper) in line with firm procedures.

*Handle internal and external account queries politely and promptly, escalating as appropriate.

  • Provide general support to the accounts function during peak periods (e.g., month-end, high completion volumes).

Apprenticeship & Learning Requirements

  • Develop understanding of legal accounting principles, client money handling, and the conveyancing/private client transaction lifecycle.

  • Willingness to learn legal cashiering and comply with firm procedures.

  • Numerate with strong attention to detail and accuracy.

  • Basic IT literacy (email, spreadsheets, and case/practice management/accounting systems).

  • Professional, discreet, and able to handle confidential information appropriately.

  • Good communication skills (written and verbal) and ability to work well in a team.

  • Organised, able to prioritise, and willing to ask questions/seek clarification.

  • Integrity and reliability, with a clear understanding that the role involves handling sensitive financial information. .

    Security, Confidentiality & Data Handling

  • Maintain strict confidentiality regarding client and firm financial information.

  • Follow the firm's data handling and information security procedures at all times.

  • Report any suspected data breaches or suspicious activity immediately to the appropriate person.

Performance Measures (Examples)

  • Accuracy of postings and low incidence of corrections.

  • Timeliness of processing payments/receipts in line with deadlines and authorisations.

  • Successful completion of apprenticeship milestones and assessments.

  • Demonstrated understanding and adherence to firm procedures and controls.
