We are looking for a motivated and organised Level 3 Business Administration Apprentice to join our growing team. This is an excellent opportunity for someone who wants to develop a career in administration, health and social care, business operations or care coordination.
You will receive on-the-job training, supervision and support while completing your Level 3 Business Administration apprenticeship.
Main Duties and Responsibilities
- General Administration
- Answer telephone calls in a professional, polite and helpful manner.
- Respond to emails and enquiries appropriately, escalating matters where required.
- Maintain accurate electronic and paper records.
- Support with filing, scanning, printing and uploading documents.
- Assist with preparing letters, forms, reports and general correspondence.
- Support the management team with daily office tasks.
- Ensure all administrative work is completed accurately and within required timescales.
- Care Office Support
- Assist with maintaining client and staff records.
- Support with updating care documentation, rotas and communication logs where appropriate.
- Help monitor and chase outstanding paperwork from staff.
- Support with uploading care plans, risk assessments and other documents onto the care management system.
- Assist with recording compliments, concerns, incidents and complaints under supervision.
- Help ensure records are kept organised, confidential and up to date.
- Recruitment and HR Administration
- Support with recruitment administration, including arranging interviews and preparing application packs.
- Assist with requesting and checking required employment documents.
- Support with DBS checks, references, training records and staff files.
- Help maintain accurate records of staff training, induction and compliance.
- Assist with onboarding new care staff under supervision.
- Communication and Customer Service
- Communicate professionally with clients, families, staff and external professionals.
- Take accurate messages and pass them to the appropriate person.
- Treat all information with confidentiality and sensitivity.
- Provide a welcoming and professional first point of contact for Symbiotic Homecare.
- Support positive working relationships across the office and care team.
- Compliance and Quality
- Work in line with company policies and procedures.
- Support with audits, quality checks and compliance records where required.
- Assist with preparing documents for internal reviews, inspections and monitoring.
- Understand the importance of confidentiality, safeguarding, data protection and professional boundaries.
- Contribute to maintaining a safe, organised and professional office environment.
- Apprenticeship Responsibilities
- Attend all required apprenticeship training sessions.
- Complete coursework, assignments and portfolio work within agreed deadlines.
- Apply learning from the apprenticeship into the workplace.
- Participate in regular reviews with the training provider and workplace mentor.
Training to be provided
Training and Development The successful candidate will complete a Level 3 Business Administration apprenticeship while working within Symbiotic Homecare. Training will include workplace learning, online or classroom-based learning, regular reviews and completion of an apprenticeship portfolio. Symbiotic Homecare will provide supervision, guidance and practical experience to help the apprentice develop the knowledge, skills and confidence required for a career in business administration.
